Office Manager, Salvus Center, Inc.

Job Description

Job Summary

  • The Office Manager supervises and coordinates the daily business office operations and medical office procedures of the clinic and works closely with the Medical Provider and the President/CEO to fulfill the missional visioning of the Salvus Center to provide high quality primary healthcare to the working uninsured of Sumner County.

Job Responsibilities

           The Office Manager’s responsibilities and core competencies include, but are not limited to:

  • Possess strong verbal, written and interpersonal communication skills, and time management and prioritization skills to effectively multi-task in a fast-paced environment
  • Supervise and coordinate care coordination team of medical support staff, receptionist/scheduler, referral specialist/intake coordinator and administrative volunteers.
  • Proficient in Quickbooks to manage accounts payable, accounts receivable, payroll and benefits; reconcile monthly bank statements; and participate in the preparation and completion of the annual audit.
  • Proficient in and serve as the point of contact for eClinicalWorks and Meditech EMR’s including employee training and support tickets, continually monitoring for efficiency and efficacy.
  • Communicate with patients and providers regarding treatment plans, care coordination, and relaying provider instructions to the patient.
  • Schedule outpatient testing, referrals and surgeries and develop patient payment arrangements as needed
  • Coordinate and maintain compliance with state healthcare regulations, licensure, and medical and facility insurance.
  • Maintain staff HR records and compliance including new employee paperwork, computer access, background checks, annual performance review and credentialing as appropriate per legal and HIPAA requirements.
  • Develop and conduct onboarding and training for care coordination team
  • Oversight of annual update of patient demographic, qualification and financial documentation during patient appointment registration.
  • Demonstrate strong telephone etiquette, answer telephone calls and direct calls to appropriate care coordination team members.
  • Facilitate and monitor building maintenance, repairs and professional cleaning.

Medical Receptionist – Patient Service Representative

Salvus Center in Sumner County, TN is currently seeking a full-time Medical Receptionist – Patient Service Representative.
The position will provide support with the daily activities of a medical office in order to provide the best inpatient care. This will include new patient intake, telephone coverage, appointment scheduling, and patient referrals.

 

 

RESPONSIBILITIES
• Primary responsibility will be to assist patients in accessing care.
• Greets patients in a friendly, courteous, and professional manner.
• Update all patient demographics information.
• Assists with completion of new patient paperwork and any other required paperwork for a specific visit
• Answer phones, assess triage patient needs, and direct to the appropriate team member.
• Scan all incoming paper documents into the patient’s chart, filing in the appropriate document type/category and correct patient chart
• Monitor the fax inbox, importing patient correspondence/reports into EMR filing in the appropriate document type/category and correct patient chart. Sending to correct provider for those documents that require provider review/sign-off.
• Requests and releases confidential information according to established guidelines on confidentiality.
• Work with the medical provider and the patient to schedule referral appointments with specialist providers
• Cross-trained in all aspects of the Patient Service Representative role to substitute if necessary.
• Other duties as assigned.

 

QUALIFICATIONS
Education/Experience:

  • High School Diploma or equivalent preferred, a one-year certificate from college or technical training program for medical office procedures preferred; or three to six months related experience and/or training; or equivalent combination of education and experience
  • Knowledge, Skills, Abilities:
  • Ability to communicate verbally and non-verbally with patients, coworkers, and members of management. Excellent professional customer service skills are required. Knowledge of Word Processing software and Electronic Medical Records software. Knowledge of common policies and procedures needed to perform the job, including all office functions.

Medical Assistant / LPN

Medical Assistant / LPN

 

Salvus Center in Sumner County is currently seeking a full-time Medical Assistant / LPN

The position will provides support with the daily activities of a medical office in order to provide the best in patient care. This will include but not limited to preparing patients to see the medical provider, assist with procedures and women’s health exams, triage, refill request, patient assistance medication refills and new applications, contacting patients with test results that have been reviewed by the medical provider, entering vitals and other medical information into the electronic medical record, injections, and EKGs.

 

RESPONSIBILITIES

 

  • Primary responsibility will be to assist patients in accessing care and providing excellent medical care
  • Greets patients in a friendly, courteous and professional manner.
  • Responsible for rooming patients, recording vital signs, performing point-of-care testing and assisting providers with in office procedures.
  • Administering injections as directed by the provider
  • Contacting patients about test results as directed by the provider
  • Triaging patient calls
  • Submit new and refills request medication applications to patient assistance programs on the patients behalf 
  • Administrative duties
  • Cross-trained in all aspects of the Patient Service Representative role to substitute if necessary.
  • Other duties as assigned.
